Job description
As an Operations Coordinator, you are responsible for the daily functioning of OurMind. Contracts are sent out, invoices are followed up, new hires are onboarded, and payroll is processed on time. The team relies on you to ensure that tasks are completed that might otherwise be overlooked. This is a hands-on role where you execute, organize, and improve processes as you go, managing HR administration, following up with hospitals on payments, onboarding new colleagues, and maintaining internal tools.
- Run and improve internal processes: documentation, tooling, communication
- Be the go-to person for "how do we do X?" questions.
- Keep internal tools organised for easy access
- Support founders on day-to-day operational tasks
- Own HR basics: contracts, leave administration, payroll coordination
- Support hiring: posting roles, scheduling interviews, communicating with candidates
- Onboard new team members for productivity from day one
- Coordinate contracts and handle light financial admin
Relevant work experience
- 2–4 Years of Experience in Operations, Office Management, or a Similar Coordinating Role
- Experience in healthcare, SaaS, or startup environments
